How can we help?

Find answers below or email us at support@vaxfile.app.

Getting started

How do I create an account?

Download VaxFile from the App Store or Google Play and tap "Sign up". Enter your email address and a password (minimum 8 characters, including a number and a special character). You'll receive a confirmation email — tap the link to verify your account, then log in.

How do I add a child?

Once logged in, tap the + button on the home screen. Enter your child's name, date of birth, sex, and country. You can also add a profile photo. Tap Save.

Which countries are supported?

VaxFile currently supports Germany (STIKO schedule), the United Kingdom (UKHSA schedule), the Netherlands (RIVM schedule), Spain (Ministerio de Sanidad schedule), Switzerland (BAG/EKIF schedule), Ireland (HSE schedule), the United States (AAP schedule), Mexico (Secretaría de Salud PRONAM schedule), and Australia (National Immunisation Program schedule). More countries are coming. To request a country, email us at support@vaxfile.app.

Can I add children from multiple countries?

Yes, with VaxFile Premium. You can assign multiple country schedules to a single child — useful for families who have lived in more than one country. The Schedule and Received tabs will show a country toggle so you can switch between schedules.

VaxFile Premium

What is VaxFile Premium?

VaxFile Premium is a one-time purchase that unlocks: unlimited child profiles, multi-country schedules per child, calendar integration, AI-powered document scanning, and PDF export. Free accounts support one child with one country schedule.

How do I purchase Premium?

Tap the upgrade prompt when you try to add a second child, switch countries, or use a Premium feature. The purchase is processed through the App Store or Google Play — €7.99 as a one-time payment, yours forever.

How do I restore a previous purchase?

Tap "Restore purchase" at the bottom of the Premium upgrade screen, or go to Settings in the app. Your purchase will be restored as long as you're signed in with the same Apple ID you used to buy it.

I purchased Premium but it's not showing as active

Try tapping "Restore purchase" in the app. If that doesn't work, make sure you're signed in with the same Apple ID used for the purchase. If the issue persists, email us at support@vaxfile.app.

Vaccination records

How do I log a vaccination?

Open a child's profile, go to the Received tab, and tap the + button. Select the vaccine and dose, enter the date and other details, and tap Save.

Can I log a vaccination from the Schedule tab?

Yes. Tap any overdue or due soon item in the Schedule tab to open the log form pre-filled with that vaccine and dose number.

How do I scan a paper vaccination record?

This is a Premium feature. On the Received tab, tap the camera icon. Choose to take a photo or select one from your library. VaxFile uses AI to read the record and pre-fill the log form — you can review and edit each entry before saving. Scanning works best with clear, well-lit photos. Results may vary and should always be reviewed carefully.

How accurate is the document scanning?

Document scanning uses AI and is designed to save time, not replace careful review. It works well for most standard vaccination booklets (German Impfausweis, Dutch Rijksvaccinatieboekje, UK Red Book, Swiss Impfausweis, Irish immunisation passport, US immunization records) but may occasionally miss entries or make errors — especially with handwritten records. Always review each scanned entry before saving.

Can I export my child's vaccination record?

Yes, with VaxFile Premium. On the home screen, tap the export button on your child's card to generate a PDF of their full vaccination record — including their schedule, logged vaccinations, and status for each dose. The PDF can be shared via email, AirDrop, or saved to your files. It's useful for sharing with schools, doctors, or when travelling internationally.

What does the exported PDF include?

The PDF includes your child's name, date of birth, country, and a complete table of their vaccination schedule — showing each vaccine, recommended due date, current status, and date administered where recorded. It is clearly labelled as a personal reference document, not a certified medical record.

How do I edit or delete a log entry?

Tap a log entry to open its detail view, then tap Edit in the top right. From the edit screen you can update the details or delete the entry entirely.

Why is a vaccine showing as overdue?

A vaccine shows as overdue when the recommended age has passed and no log entry exists for that vaccine and dose. Check the Schedule tab for details. If you have already received the vaccine, log it to mark it as done.

Schedule

Where does the vaccination schedule come from?

Schedules are based on official national guidelines — STIKO Impfkalender (RKI) for Germany, the UKHSA Green Book immunisation schedule for the UK, the RIVM national immunisation programme for the Netherlands, the Ministerio de Sanidad national vaccination calendar for Spain, the BAG/EKIF Swiss vaccination plan for Switzerland, the HSE immunisation schedule for Ireland, the AAP immunization schedule for the United States, the PRONAM national vaccination protocol of the Secretaría de Salud for Mexico, and the National Immunisation Program schedule for Australia. VaxFile is a record-keeping tool only and does not provide medical advice. Always consult your doctor or healthcare provider.

How is the due date calculated?

Due dates are calculated from your child's date of birth using the recommended age in weeks from the official schedule.

What does "Due this year" mean for the flu vaccine?

The flu vaccine is annual. "Due this year" means no flu vaccine has been logged for the current calendar year and your child is old enough to receive it.

My child has schedules from two countries — how does that work?

With Premium, you can assign multiple country schedules to a child. On the Schedule and Received tabs, use the country toggle at the top to switch between schedules. Each schedule is tracked independently, and you can log vaccines against any of them.

Notifications and reminders

How do I turn on reminders?

When you first open a child's Received tab with no entries, VaxFile will offer to turn on reminders. Tap "Turn on reminders" and allow notifications when prompted.

I turned off notifications. How do I turn them back on?

Go to iPhone Settings > VaxFile > Notifications and enable Allow Notifications. Then open VaxFile — the reminder prompt will reappear on any empty Received tab.

Can I add vaccination dates to my calendar?

Yes, with VaxFile Premium. On the Schedule tab, tap the calendar icon next to any upcoming or due soon vaccine to add it to your device calendar. The event will appear in whichever calendar app you use on your device.

Account and data

How do I delete my account?

In the app, go to Settings → Delete account. Your account and all associated data are deleted immediately. You can also email us at support@vaxfile.app with the subject "Account deletion request" and the email address of your account, and we'll delete your data within 30 days. This includes your account, family profiles, vaccination records and usage statistics. Purchase records are kept by Apple or Google and our payment provider as required by tax law.

Where is my data stored?

Your data is stored securely on Supabase servers in Frankfurt, Germany. It is encrypted in transit and never sold or shared with third parties for marketing purposes. See our Privacy Policy for full details.

Does document scanning store my photos?

No. When you scan a document, the photo is sent securely to OpenAI for processing and is not stored by VaxFile or OpenAI beyond the immediate request. No images are retained after the scan is complete.

I forgot my password. How do I reset it?

On the login screen, tap "Forgot password?" and enter your email address. You'll receive a reset link by email. The link will take you to vaxfile.app where you can set a new password.

Troubleshooting

The app won't load or shows an error

Check your internet connection. VaxFile requires an active connection to load and sync data. If the problem persists, close and reopen the app.

I'm not receiving the confirmation email

Check your spam folder. If it's not there, wait a few minutes and try again. If you still haven't received it, email us at support@vaxfile.app.

A vaccine is missing from the schedule

The schedule only includes vaccines from the official routine programmes (STIKO for Germany, UKHSA for the UK, RIVM for the Netherlands, Ministerio de Sanidad for Spain, BAG/EKIF for Switzerland, HSE for Ireland, AAP for the United States, PRONAM for Mexico, NIP for Australia). If you believe a vaccine is missing, email us at support@vaxfile.app.

Document scanning returned wrong or missing results

AI scanning works best with clear, well-lit, straight-on photos. Try retaking the photo with better lighting and less angle. If results are consistently wrong for a particular document type, email us at support@vaxfile.app — your feedback helps us improve accuracy.
